What is BotBid?
BotBid is an online service that acts like a bid department for companies that sell to government. It finds public bids that fit you, helps you decide which to chase, plans every step, helps write the package and tracks each bid to award. A person on your team always approves price, signatures and submission.
Who is BotBid for?
Small and mid-size companies that bid on public work often, such as paving and construction firms, equipment and supply dealers, software and IT firms, and facilities and service companies. It is built for teams that want to bid more without adding office staff.
How is BotBid different from a bid listing site?
A listing site gives you a list of bids. BotBid also explains why each bid fits, builds a step-by-step plan with deadlines, watches for changes, drafts emails and proposal sections, and tracks the bid after you submit.
Does BotBid submit bids for me?
No. BotBid prepares and checks the package, but a person always gives the final approval and makes the submission. Price, signatures and submissions are always yours.
Will BotBid help me win more bids?
BotBid helps you find more bids that fit, avoid missed deadlines and paperwork mistakes, and price with better information. We do not promise any result; whether a bid wins is up to the buyer.
What is the morning summary?
Each morning at 7 AM in your own time zone, BotBid sends a short summary of what happened while you slept: new bids found, why they fit and what needs your attention today.
Where does BotBid find bids?
BotBid checks public sources every night, including federal, state, county, city, school and cooperative purchasing portals. You can also forward the bid alert emails you already get, and BotBid will read them.
How does BotBid know which bids fit my company?
During setup you tell BotBid what you sell, your industry and commodity codes, where you work, and the size of jobs you want. It scores each new bid against that profile and shows the reasons. When you pass on a bid and say why, it learns from that.
What happens when a buyer issues an addendum?
BotBid watches each active bid for addenda and questions and answers. When something changes, it shows what changed, updates dates and steps in your plan, and alerts the right person.
Does BotBid write the proposal?
BotBid drafts proposal sections from facts your team has approved, in the order the buyer asks for, and maps each requirement to where it is answered. Your team reviews, edits and approves the final text.
Can BotBid set my price?
BotBid can show pricing research, such as past results and a suggested range, to help you decide. A person on your team always sets and approves the price.
How are signatures handled?
BotBid sends signature requests to the right signer with the exact pages to sign. A digital signature is only applied within rules the signer has approved in advance, and every use is logged and the signer is told.
Can other customers see my data?
No. Each customer's data is walled off from every other customer. Your bids, documents, prices and notes are visible only to people in your own workspace.
Is my data used to train AI?
Your private documents are not used to train shared AI models. BotBid uses what you upload to help with your own bids.
How are passwords and portal logins protected?
Portal logins you store in BotBid are kept encrypted. Owners and signers use two-step sign-in with an authenticator app. When a portal needs a person, such as for a security check or a payment, BotBid asks you to step in.
Can I export my data?
Yes. You can request an export of your workspace data.
Can I have my data deleted?
Yes. On request, your workspace and its data can be fully deleted.
Can I see who did what in my account?
Yes. Your workspace has an activity log you can view, so you can see what was done and by whom, including actions BotBid took for you.
Is BotBid available now?
BotBid is in early access. We are working with a small number of companies first. You can join the early access list on the Get started page.
What plans are there?
Three: Standard for one company bidding on its own, Max for a bid team or capture office, and Enterprise for consultants, agencies and large organizations. Prices are shared when you talk to us.
How much does BotBid cost?
Pricing has not been published yet. Please talk to us and we will walk you through the options.
What limits does each plan have?
Limits are set per plan, for things like how many bids you move into a bid plan each month, explainer videos, team seats and storage. The exact numbers will be announced. Finding and screening bids is not limited.
What happens if I reach a plan limit?
You get a warning as you get close. At the limit, starting new bids pauses and you can choose an upgrade or an add-on. Bids already in progress are never blocked, and nothing is charged beyond your plan without your click.
Is there a free trial?
This has not been decided yet. It will be announced along with pricing.
What are explainer videos?
An explainer video is a short narrated walkthrough made for a specific bid you are chasing. It can help explain your offer to a buyer in a clear, friendly way.
How many videos does each plan include?
Standard includes a monthly explainer video allowance, Max a larger one, and Enterprise is tailored.
Who makes the videos?
At first, our team makes each video for you. Self-serve video building is planned for later.
How does ordering a video work?
You order a video from an active bid and fill in a short form. Our team writes a script, you approve it, and then you review the finished video and can ask for changes.
Can I choose the voice?
Yes. You pick a narrator voice from a small library of samples.
How is a finished video shared?
Finished videos are delivered on a hosted page you can share with a link.
How long does setup take?
Setup is a guided interview about your company, codes, service area, certifications, insurance, past work and documents. Your answers save as you go, and teammates can help finish it. Once the basics are done, BotBid starts looking for bids that night.
Can my whole team use BotBid?
Yes. You can invite teammates and give them roles. Each person sees the steps that belong to them in a Do next list. The number of seats depends on your plan.
Does BotBid email buyers on my behalf?
BotBid drafts emails to buyers, such as questions before the deadline, in your voice. You choose which kinds may be sent automatically; everything else waits for your click.
What happens after I submit a bid?
You upload proof of submission, such as a receipt or tracking number. BotBid then watches for the bid opening, results and award, records whether you won or lost and why, and saves the lesson for next time.
Can I suggest a feature or report a problem?
Yes. Every page in the app has a button to suggest an idea or report a problem, and your note goes straight to our team.
How do I get started?
Visit the Get started page to join early access, or contact us to book a demo. You can also try the interactive demo, which uses made-up example data.
Where is BotBid hosted?
In the United States. Our primary hosting region is in the eastern United States (US-East). Retention and deletion terms are set out in your agreement and the Data Processing Addendum.
Can we delete our account and all our data ourselves?
Self-serve account and data deletion is coming. Owners will be able to delete their account and all their data from inside BotBid. Until then, deletion follows your agreement and the Data Processing Addendum.
